2. STAND RENTS AND FEES
Stand rents are determined in accordance with the final location of
the stand. The indoor stand rent is 80 €/m2 and outdoor stand
rent in the Ouluhalli yard area and Fair Square 35 €/m2. The rent
of a ready-made stand is 115 €/m2. The price of a ready-made stand
includes rent, walls, carpet, an overhead signboard and their installation
and removal. The text located in the overhead signboard is not included
in the price. Supplement for corner stand indoors is 10%. Stand rent
for the Arts and Handicrafts section is 85 €/m2. The prices include
stand rent, wall structures and overhead signboard. No supplement for
corner stands and registration fee are charged for Arts and Handicrafts
section. The rent is calculated for each starting square metre. The
minimum participation fee is 420 €, excl. Arts and Handicrafts
stands. VAT valid at a given time will be added to the prices. Interest
for late payments is 8%. Any name other than that of the exhibitor,
his clients or agents can only be displayed in the stand with the organiser’s
permission. A separate agreement is made thereof and a fee of 420 € will
be charged for each name. The prices for Northern Finland Book Fair
can be found in a separate form.
3. REGISTRATION AND REGISTRATION FEE
Registrations must be made using the registration form, telephone,
fax or e-mail. The registration period ends on 30 April 2010. Late
registrations can be accepted subject to availability of space. The
organised confirms the registration in writing, which is binding to
both parties. The contract form must be signed and returned by the
closing date. The registration fee is 100 € + VAT valid at a given
time. The registration fee is charged after the receipt of the registration.
The registration fee is not refunded in case of cancellation.
4. ALLOCATION OF STANDS A contract and a layout, in which the location of the stand, signs
and dimensions are indicated, are sent to the exhibitor. Location requests
made in conjunction with preliminary reservations will be taken into
account when possible when planning the final locations of stands.
First, the themes and plan of use of the Fair area will be considered,
after which the requests made for specific locations will be considered
in the order of registration. The organiser reserves the right to accept
or reject the participation of an exhibitor.
5. CANCELLATION OF RESERVATION The exhibitor has the right to cancel his participation without extra
cost within 14 days after he has received the contract and layout from
the organiser. Invoices that have fallen due will be charged for later
cancellations.
6. STAND STRUCTURES The exhibitor is responsible for the assembly and decoration of his
stand (excl. ready-made stands) and for ensuring that the structures
are sufficiently solid, clean and safe. The organiser has the right
to remove any unacceptable structures and advertisements from the Fair
area. The exhibitor must build the back wall of his stand, in addition
to walls on sides that are bordered by the neighbouring stands. The
exhibitor shall not, without separate permission, utilise the structures
of another exhibitor. It is forbidden to make any fixings and attachment
to the floor, pillar and wall structures of the building. The exhibitor
is liable for the damages caused by the assembly work or the structures.
The height of a stand has not been limited; the basic height is 250
cm. The front wall of a stand must be equipped with an overhead signboard
stating the name and logo of the exhibitor. The height of an overhead
signboard is 30 cm and the upper edge must be at the height of 250
cm. Adhesive tapes that remove painting from the floor may not be used.
7. FAIR MAGAZINE The exhibitors and products exhibited will be listed in the Fair magazine
free of charge if the appropriate information is submitted before the
deadline. The organiser is not liable for possible damages caused by
mistakes in the Fair magazine or other Fair publications.
8. CUSTOMER INVITATION CARDS
The organiser provides the exhibitor with 10 customer invitation cards/m2
or as ordered by the exhibitor. The organiser charges the exhibitor
only for cards returned via the ticket office the price of 6 €/card
+ VAT valid at a given time. Resale of customer invitation cards is
forbidden. More cards can be ordered from the Fair Information Centre.
9. EXHIBITORS’ CARDS AND
PARKING TICKETS
Exhibitors’ cards and parking tickets for parking reserved
for exhibitors are delivered from the Ouluhalli Fair Information
Centre during the construction period Exhibitors' cards must be kept
clearly visible when in the Fair area.

10. ELECTRICITY
The organiser is responsible for the general lighting of the Hall.
Stand installation work, connection fees and charge for use are paid
by exhibitors against a separate invoice sent after the Fair. Installations
are made by a supplier appointed by the organiser. Fees: Indoor lighting
connection 84 €/connection and electric power connection 126 €/connection.
Outdoor lighting connection 118 € /connection and electric power
connection 177 €/connection. VAT valid at a given time will be
added to the prices. The use of electricity is included in the prices.
Connections are ordered using the registration form lighting/electric
power section or a separate order form. Power requests etc. detailed
information is given in the electricity order form.
11. INTERNET CONNECTION
Internet connections can be ordered by e-mail from info@pohjois-suomenmessut.fi.
12. TELEPHONE If requested, the exhibitor will be provided with a telephone, which
is connected directly to the telephone network of Oulu. The telephone
can be ordered when returning the registration form. DNA charges the
telephone installation costs, rent and fees for use directly from the
exhibitor in compliance with currently valid fees.
13. CLEANING The organiser is responsible for cleaning and waste management of
the Fair area in the evening prior to the opening day and later for
the cleaning of passage ways, common areas and sanitary facilities.
The cleaning company appointed by the organiser will be responsible
for cleaning the stands during the Fair. Cleaning services can be ordered
by marking the Cleaning Service item in the registration form. The
cleaning company will agree on the service with each stand separately.
14. SAFETY
The organiser is responsible for general safety and order in the Fair
area. Night guarding is organised for the entire Fair area on 3–8
August 2010. The organiser is not responsible for the possible damage
and disappearance of items, structures, etc. during construction and
Fair opening hours.
15. INSURANCES
The organiser’s liability insurance covers damages caused to
a third party by the organiser’s equipment or structures. The
exhibitor shall be liable to take all liability and other insurances
(fire, theft, etc.) he deems necessary.
16. FIRE SAFETY The valid general fire safety instructions must be complied with.
Prior permission by the fire authorities must be obtained for the exhibition
or use of equipment causing a risk of fire. The organiser equips the
Fair area with portable fire extinguishers in addition to the fixed
fire plugs in the Hall. Smoking is only allowed in designated areas.
17. DEMONSTRATIONS
The exhibitors shall agree with the organiser on the demonstrations
and audiovisual or musical presentations played at the stand. The Finnish
Composers’ Copyright Society (Teosto) will charge a fee in compliance
with the Finnish Copyright Act for music and video presentations used
in the stand. Demonstrations may not cause disturbance to neighbouring
stands. The Exhibitor must ensure that he has paid the appropriate
Television Fee concerning the televisions used in the stand.
18. SCHEDULE
Construction of the stands may commence on 2 August at 8 a.m. The
stands must be ready on 4 August at 9 a.m. unless otherwise agreed
upon. The Fair will be opened to public on 4 August at 11 a.m. The
daily construction and disassembly hours are from 8 a.m. to 10 p.m.
A longer construction period possibly required for certain stands must
be agreed upon separately on a case-by-case basis. The
disassembly of the Fair may be commenced on 8 August at 6 p.m. at the
earliest. All exhibition material and structures must be removed from the Fair
area by 9 August at 12 noon. Service traffic in Fair opening days is
allowed at 8 a.m.–10 a.m. and 6 p.m.–8 p.m. Fair Manager’s
permission must be obtained for other traffic. The Fair area also covers
the activity and outdoor areas, to which the abovementioned construction
and disassembly schedule will also be applied.
19. SENDING GOODS TO THE FAIR The identification details of the receiving stand must be clearly
indicated in all goods sent to the Fair. The sending address is: Oulu
Grand Fair, stand name/number, Ouluhalli, Ylioppilaantie 4, 90100 Oulu,
FINLAND. Goods are only delivered on the construction days.
20. GENERAL REGULATIONS The organiser reserves the right to cancel or postpone the Fair to
another time or location with no compensation for the exhibitors if
the Fair cannot be held in the time stated due to Force Majeure. By
signing this Fair Contract, the exhibitor undertakes to comply with
these General Terms of Participation and any complementing instructions
given. Deviation from these conditions without a prior written consent
of the organiser may lead to the closure of the Fair stand.
